RCCW Hybrid Meeting
(Fall Forum 2021)

On this sunny and warm 22degree Monday evening at the Calgary Golf and Country Club, a turnout of about 32 members present  and about 12 more on zoom graced this evening’s club forum chaired by President Marlene Doherty and organized by team 3, together with Social Director Barbie Hames. Buffet dinner of fish, chicken, salads, vegetables and dessert cookies was well received. Our zoom greeter was Natalija Reljic and our greeters/hosts were Karl Herzog and Judy Cochran.

After the president's warm welcome and salutations, O Canada was led by Don Edie.

President Marlene outlined the agenda for this club forum, which, in a healthy club like ours, is arranged several times a year, as a members-only meeting, to inform members of the affairs of our club. This is where we learn more about the governance, management and direction of this club. Today’s bulletin attempts to inform all members of the important highlights without going into too many minute details:

Financial Report
Treasurer Don Edie highlighted the details of the financial position which are also posted in ClubRunner documents.

Some information of importance: We have several bank accounts, for Rotary and legal reasons. They are the general account, which addresses club dues and club operations; the community account that handles all donations, funds raised through club fund-raisers, etc.,  and disburses to all bona fide projects approved by our club; the casino account that handles the casino funds, which we receive as part of working a casino once every 18 to 24 months,  and can only disburse to specific and approved projects as guided by the gaming commission; and the society account which now is defunct but was previously required for funds we received from the province for specific international project purposes.  He then talked about our budgets and forecasts and confirmed that more than fifty percent of our dues are paid into Rotary International in the form of dues to cover our membership in RI and to give us access to their funding for projects, etc.

The Strategic Plan. Marlene Reported
The strategic plan is a planning tool that most healthy clubs develop and continue to upgrade in order to provide for a vibrant club. This is posted on the website. Marlene highlighted that we are a "brave space” where we strive to create strong community and international impact, streamline processes and governance, expand fellowship and leadership opportunities, collaborate with other clubs, funding agencies, charitable organizations and members at large to create a true community that has a sense of continual growth through conversations, social engagements and professional development, to create a sense of true  community that can tell a great story in real time. Our members are most diverse, professional, entrepreneurial, creative, resourceful people and this strategic plan seeks to serve all needs of all members all the time.

Steven Kuiack suggested that we examine our social media platforms and determine how we can make them more current and determine which ones we should use for greatest efficiency. Gord Cox reported that this is a work in progress that needs help. Robyn Braley offered help in the form of tutorials as this is an area he has worked extensively on.

Gerry Meek asked about the status of the bylaw review, which is the domain on the president-elect-nominee. Marlene, Linda Anderson and Orlin McMillan are charged to address this matter and report at the next forum.

Board Reports
Membership: Les Morgan reported that they plan to have at least 76 members this year, and encouraged members to invite quality members to join our club. Please note, we invite members to Rotary, and the invitations come from you.

Foundation: Think of Rotary in your charitable giving. The Rotary Foundation, Polio Plus and the Calgary Rotary Clubs Foundation will receive your charitable donations, and also receive bequests, estate planning giving, etc. See Gail Williams or a member of the foundation committee for more information. November is foundation month and members are reminded to include Rotary in your plans. Our club's goal is to contribute $22,000 to RI this year (we as a club have cumulatively contributed just over $1million to date), $12,000.00 to Polio Plus and $84,000 to CRCF (we have cumulatively contributed $916K to the CRCF and hope to get to $1m). Note, for every dollar we contribute to either fund, we receive an annuity in the form of district grants or an annual check for the purposes of charitable funding to projects. This money comes back and you receive a charitable receipt!

Service: Drew Turnbull reported that both, the community service committee and the international service committee are active in seeking recommendations for funding. As Rotarians, we raise funds and place funds annually. This is an ongoing process and the machine needs to be engaged. Contact Kurt Schurer for a local service funding recommendation and Steve Rickard for an international grant recommendation.

Youth: Judy Cochran reported on Interact, Rotaract, RYLA, Youth Exchange and the Four-Way Test competition which our club strongly supports. The Four-Way Test speech competition will be held at one of our meetings in March.

Public Image: Gord Cox reported on the strategic plan, on-line presence, social activities Thanks to Barb, we have covered 14 events thus far! The website, the speaker program and media stories of our club’s activities in the community. He also drew our attention to the area on the website under “My Rotary” and “Brand Central” that can offer media materials for your use as Rotarians.

Citation: Past President Bill Fitzsimons reported that RI has just recognized our club with the citation award (for being a very fully-engaged club in all sectors of activity and endeavour), during the 20-21 year. Congratulations to Bill and the club for making this happen. It is not every club receives this award!

The Citizenship Award: Mike Carlin, for the foundation committee, reported that this club wishes to recognize two community citizens (unsung heroes) with the Paul Harris Award this calendar year. Please seek out and nominate a member that you consider worthy of this prestigious award and it will be presented in November during foundation month by Dean Rohrs, the RI Foundation trustee. More information is available on the website. Let’s make an effort to seek our local heroes. This tradition will continue into next year and plans to extend our reach into the greater community. Your involvement is vital!

Auction: Ken Montgomery reported that we are still seeking items for the auction. Please seek our items and contact Ken.

Question time was moderated by Sa'adat Keshavjee
Gerry Meek asked how much is expected of a member in this club and are we elaborating the expectations to new members, and are the expectations of new Rotarians within the range of their capacity?  He also asked whether we are spreading our charitable funds into worthy and meaningful community projects, and whether fewer and larger contributions may have greater impact than may small contributions? The board will look at both these questions and hope to address them through the year.

Adjournment: President Marlene thanked team 3, the cub members that attended, all volunteers that participated, and the staff at the golf club, and adjourned with the Four-Way Test.
